Hi

Can anyone suggest a rule of thumb to keep the batteries in the required condition especially if not being used for a while

Charge them fully, then store them away and let the self-discharge feature do its thing. They discharge to 50-60% and stay there while stored.
 
The above is drone model dependant, Mavic Mini batteries DO NOT self discharge.
Also if the drone is a Mini 2 I would suggest googling their behaviour.
 
After flying, make sure your batteries are cool then charge them to around 60% for storage. Only charge up to full on the day you are flying as that way they will be balanced and fully charged. The less time you keep them fully charged or discharged, the longer they will last. There's no point in fully re-charging and letting them auto discharge as this just adds to the days they sit in a high charge state.
Monitoring the number of charge cycles in the dji app and checking cell deviations in (for example) Airdata UAV will help you keep an eye on battery health.
